Privacy Policy
This Privacy Policy explains how the Prairie HS Class of 2027 Senior Trip coordinators (“we,” “our,” or the “trip coordinators”) collect, use, and protect the information families share with us at seniorhawks27.com in connection with the March 2027 Hard Rock Punta Cana trip.
Who we are
The trip is privately coordinated by Jason & Monica Hayes and Marissa Johnson on behalf of participating Prairie HS families. We are not the school district and we are not Hard Rock Hotels. We act as a volunteer family-trip coordinator and a conduit between participating families and our travel vendor.
What we collect
- Registration information — parent and student names, email address, mobile phone number, mailing address, room selection, traveler ages, dietary or accessibility notes, and an emergency contact name and phone.
- Payment records — the amounts you have paid, the method (PayPal / Venmo / check), the date received, and a family code used to look up your balance. We do not store credit card numbers, bank account numbers, or PayPal/Venmo credentials on this site.
- Communication records — emails and text messages you send us, and our replies, kept for trip-coordination history.
How we use it
We use the information you provide only to coordinate this specific trip. That includes:
- Confirming your registration and holding your room with Hard Rock through our travel vendor.
- Sending you transactional updates — registration confirmations, payment receipts, balance reminders, pricing updates from Hard Rock, and travel-coordination messages such as final itinerary, packing list, and check-in details.
- Answering your questions and resolving issues with your booking.
- Maintaining an internal roster, balance ledger, and audit trail of payments received and refunds issued.
SMS / text messaging
If you opt in on the registration form, we may text the mobile number you provide for trip-related messages. SMS opt-in is separate from registration — you can register without consenting to texts.
- What we send: registration confirmations, payment receipts, Hard Rock pricing updates that affect your balance, and trip-coordination updates (itinerary, packing list, FAQ updates).
- Frequency: low — typically 1–2 messages per week during active coordination, occasionally none.
- Rates: Message and data rates may apply. Your mobile carrier's standard rates apply to every message you receive.
- Opting out: Reply STOP at any time to opt out. You can also reply HELP for help, or email hayes.jason.j@gmail.com.
- No mobile-number sharing: Mobile phone numbers and SMS opt-in data are not shared with third parties or affiliates for marketing purposes. They are used only for the trip-coordination messages described above, and shared only with the service providers we use to send those messages (currently Twilio).
Who we share it with
We share the minimum information necessary with a small set of service providers, and only for trip coordination:
- Our travel vendor (Legendary Vacation Club / Hard Rock Punta Cana) — receives the traveler names, ages, and room selection needed to issue your booking.
- Google Workspace — hosts the registration spreadsheet, balance ledger, and coordination email used to run the trip.
- Twilio — the SMS provider that delivers text messages when you opt in.
- PayPal and Venmo — when you choose to pay through them. We see only the payment amount, the sender, and the memo you enter.
We do not sell your information. We do not share it for advertising. We do not share mobile numbers or SMS consent data with any third party other than the message-delivery service provider noted above.
How long we keep it
We keep registration, payment, and communication records through trip completion in March 2027 plus 12 months for reconciliation, refund handling, and tax recordkeeping. After that, identifiable records are deleted or anonymized except where retention is required by law.
Your choices
- Access & correction: Email us to request a copy of what we have on file for your family, or to correct anything.
- Deletion: If you cancel your participation in the trip, you can request deletion of your registration record (subject to retention of the minimum payment / refund history needed for our books).
- SMS: Reply STOP to any text message to opt out of further texts.
- Email: Trip emails are transactional and tied to your registration; if you no longer wish to receive them, contact us and we will withdraw your registration.
Children's privacy
This site is intended for parents and guardians of Prairie HS Class of 2027 students. We do not knowingly collect information directly from anyone under 13. Information about minor travelers is collected only from the parent or guardian registering them for the trip.
Security
We use reasonable administrative and technical safeguards — restricted Google Workspace access, no plaintext storage of payment credentials, and HTTPS on this site. No system is perfectly secure, so we ask families to use the official payment links and to email us directly if anything looks suspicious.
Changes
We may update this policy as the trip progresses (for example, to reflect a new service provider). The current version, with an updated effective date, will live at this URL: seniorhawks27.com/privacy.
