Terms of Service
These Terms of Service cover the use of seniorhawks27.com and registration in the Prairie HS Class of 2027 Senior Trip to Hard Rock Punta Cana, March 13–20, 2027. By registering a family on this site, you agree to the terms below.
1. Who runs this trip
The trip is privately coordinated by Jason & Monica Hayes on behalf of participating Prairie HS families. This is not a school-sponsored event. Prairie High School and Cedar Rapids Community School District are not parties to this trip and bear no responsibility for it. Travel and accommodation services are provided by Hard Rock Hotel & Casino Punta Cana through Legendary Vacation Club (our travel vendor). We act as a coordinator between participating families and that vendor.
2. Registration
To register, a parent or legal guardian must complete the sign-up form on this site with accurate information for every traveler in the room. A room is held only when the deposit is received, not at the moment the form is submitted. Rooms are released and reissued to the next family in line if the deposit is not received within a reasonable window after registration.
3. Pricing and balance
The estimated per-room cost shown on this site reflects current Hard Rock pricing for the dates and suite type selected. Final per-room cost is locked when the room is actually booked with Hard Rock, not when you register and not when you pay your deposit. Hard Rock pricing can move up or down between registration and final booking. We will communicate price changes that affect your balance by email and by SMS if you opted in.
4. Payments
- Deposit: 50% of the current estimated room cost, due on registration to hold the room.
- Final balance: due in full within 60 days of your booking date. The remaining balance after deposit must be paid no later than the 60th day following the date your reservation was made.
- Methods: PayPal, Venmo, or check — see the links on the registration confirmation and on the Payments section of the home page.
- Memo line: always include “PHS 2027 Trip” plus your student's name so we can credit your family ledger.
- Receipts: recorded in the family balance ledger within a day or two and emailed to the address on file.
- Missed final payment: if the final balance is not received by the 60-day deadline, the reservation may be released and the deposit treated under the cancellation policy below.
5. Group cancellation policy
This trip is classified as a group reservation by Hard Rock Hotels. Per Hard Rock policy, memberships with 10 or more reservations for the same hotel and same dates (or overlapping 3 or more nights) are treated as a group, which changes the cancellation rules below.
Cancellations 91 days or more prior to arrival
- Hard Rock penalty: $600 per reservation cancelled is forfeited to Hard Rock under the group contract.
- Non-recoverable amounts: Any payment-processor fees, administrative costs, and other non-recoverable amounts already incurred on the reservation are also non-refundable.
- Remaining funds: Any portion of the family's payments beyond the amounts above will be returned to the family.
Cancellations within 90 days of arrival
- 100% non-refundable. Per Hard Rock group policy, all amounts paid are forfeited on cancellations made within 90 days of arrival.
- No changes to reservations are permitted within 90 days of arrival.
Other notes
- Refunds outside of the above are reviewed individually based on circumstances and Hard Rock policy.
- If a substitute family from the waitlist takes a cancelled room, the cancelling family may recover additional funds at the coordinator's discretion.
- Travel insurance is strongly recommended and is the family's responsibility to obtain. We do not provide travel insurance and are not an insurance broker.

6. Travel documents and conduct
Each traveler is responsible for holding a valid passport (and any other documents their country of residence requires for entry into the Dominican Republic and re-entry to the United States) on the dates of travel. Each family is responsible for its travelers' conduct at the resort. Hard Rock's house rules and local law govern on-site behavior.
7. SMS / text messaging
When you opt in on the registration form, we may send you text messages to the mobile number provided. By opting in you agree that:
- Message frequency is low — typically 1–2 messages per week, occasionally none.
- Messages are limited to registration confirmations, payment receipts, Hard Rock pricing updates that affect your balance, and trip-coordination updates (itinerary, packing, FAQ).
- Message and data rates may apply at your carrier's standard rates.
- You can reply STOP at any time to opt out, or HELP for help.
- Mobile numbers and SMS opt-in data are not sold or shared with third parties or affiliates for marketing purposes — see the Privacy Policy for full detail.
- Opting out of texts will not cancel your registration; transactional email and direct contact from the coordinator will continue.
8. Communications
Once you register, you agree to receive transactional emails about your booking (registration confirmation, payment receipts, balance reminders, pricing updates, and trip-coordination messages). These emails are not marketing and cannot be unsubscribed from while your family is actively registered. If you withdraw your registration we will stop sending them.
9. Site content
Information on this site — pricing, dates, itinerary, photos — is provided for trip-coordination purposes and may be updated as Hard Rock or the travel vendor change details. Photos of Hard Rock Punta Cana are used to describe the resort and remain the property of their respective owners. The “Prairie Hawks” mark belongs to Cedar Rapids Prairie High School and appears only to identify the participating class.
10. No warranty; limit of liability
The trip coordinators are providing this site and coordination service in good faith as volunteers. The site and the coordination service are provided “as is” without warranty of any kind. To the maximum extent permitted by law, the coordinators' liability for any claim arising out of registration, payments, communications, or participation in the trip is limited to the amounts actually paid by that family to the coordinators for that trip. The coordinators are not liable for acts or omissions of Hard Rock, Legendary Vacation Club, airlines, transfer providers, payment processors, mobile carriers, or any other third party.
11. Changes to these terms
We may update these terms as the trip progresses (for example, to clarify a new payment method or vendor change). The current version, with an updated effective date, will live at seniorhawks27.com/terms.
12. Governing law
These terms are governed by the laws of the State of Iowa, United States, without regard to conflict-of-laws principles. Any dispute that cannot be resolved through direct conversation will be brought in the state or federal courts located in Linn County, Iowa.
